Geno Essence · GENO HR Audit
Terms of Use
Effective 16 October 2026
In short: access is by invitation, keep your account secure, only upload what you are allowed to share, your content stays yours, and Kenyan law applies.
1. Agreement to These Terms
These terms govern your use of GENO HR Audit, operated by Geno Essence. By logging in or creating an account you agree to them. If you use the platform for an organisation, you confirm you are authorised to do so. Where your organisation has a separate engagement agreement with us, that agreement prevails if it conflicts with these terms.
2. Who May Use the Platform
Access is by invitation only. Audit firm staff are invited by their workspace administrators, and client users by the audit firm. Your role decides what you can see and do. You must be at least 18 and use your own work email address.
3. Your Account and Security
- Keep your password and two-step verification codes private, and do not share your account.
- Tell us straight away at admin@genoessence.com if you think your account has been used without permission.
- You are responsible for activity under your account until you report a problem to us.
4. Acceptable Use
You must not:
- upload material you are not authorised to share, or that is unlawful, malicious or infringes anyone’s rights;
- try to access data, accounts or workspaces that are not yours, or get around security or access controls;
- interfere with the platform, overload it, or scrape, copy or reverse engineer it;
- use the platform in breach of the Data Protection Act, 2019 or other applicable law.
5. Your Content
You and your organisation keep ownership of the documents and information you upload. You allow us to store, process and share it within the platform as needed to deliver the audit and the service.
When you upload HR records or other personal data, you confirm your organisation has a lawful basis to share it with us for the audit. Our handling of personal data is described in our Privacy Policy.
6. Audit Reports
Audit findings and reports are based on the documents, interviews and samples available during the audit, and reflect the position at that time. They are prepared for the client organisation named in the report and are not legal advice. Issued reports cannot be changed; any correction is made by issuing a revised version.
7. Our Platform and Methodology
The platform, its design and software, and the GENO audit methodology and question library belong to Geno Essence or its licensors. You may use them only to take part in audits through the platform. Report content prepared for your organisation may be used by your organisation for its own purposes.
8. Confidentiality
Treat information you see in the platform about other people and organisations as confidential, and use it only for the audit it relates to.
9. Availability and Changes
We aim to keep the platform available and secure but cannot promise uninterrupted access. We may change, add or remove features, and will give reasonable notice of changes that materially affect how you use it.
10. Suspension and Ending Access
We or your workspace administrator may suspend or remove access if these terms are broken, to protect the platform or its users, or when your role or engagement ends. Records already created, such as approvals, sign-offs and issued reports, are kept as described in the Privacy Policy.
11. Liability
To the extent the law allows, the platform is provided “as is”, and Geno Essence is not liable for indirect or consequential loss, or for loss caused by inaccurate or incomplete information provided to us. Nothing in these terms limits liability that cannot be limited by law. Liability for audit services is governed by the relevant engagement agreement.
12. Governing Law and Disputes
These terms are governed by the laws of Kenya. We will first try to resolve any dispute by discussion; if that fails, the courts of Kenya have jurisdiction.
13. Changes and Contact
We may update these terms and will show the new effective date above. Continuing to use the platform after an update means you accept it. Questions can be sent to admin@genoessence.com.
